Credit Memo barcode setup

The POS now supports connecting credit memos to a barcode that can be scanned directly into the POS to pay with credit memo.

Credit memo barcode mask

For this to work correctly a credit memo barcode mask must be created so the POS recognizes the barcode as a credit memo payment. In this example we will assume that the prefix of the credit memo barcode is 14 and the original credit memo number sequence (CREDITVOUCHER) is ########

To create a Credit memo barcode mask do the following:

  1. In the ribbon navigate to Setup > Barcodes and select Barcode mask setup from the drop down menu.
  2. Enter a description, select the Type = Credit memo, Symbology = No bar code and then enter the mask 14XXXXXXXX and press enter. This automatically splits the mask in to a prefix (14) and the mask segment.
  3. Press OK and the mask setup is complete. Now all barcodes that start with 14 and are of length 10 will be taken as Credit memo payments.

Modifying the number sequence

Credit memos are always printed on the receipt printer and credit memo IDs will be generated by the system. To be able to use the barcode scanning of credit memos when paying with them you need to modify the number sequence to match the credit memo barcode mask.

In our example the mask prefix is 14 and the credit memo number sequence is ######## so the credit memo number sequence format must be changed to 14########.

Selling and activating credit memo on the POS

  1. Select 'Issue credit memo'
  2. Select or enter the amount.
  3. Press OK
  4. Accept payment for the credit memo -> credit memo has now been created and actived and is ready to be used for payment.

Using credit memo for payment

  1. Add items to the transaction
  2. Scan the credit memo ID into the barcode field (this field should have the focus by default) -> credit memo payment dialog is displayed showing credit memo ID and balance.
  3. Press OK to pay using the scanned credit memo -> New credit memo is created for the change (depends on configuration.
